What ApexIQ WinCommand™ is, what it does and does not do, and the basis on which it is provided.
Effective: 24 August 2026
Last reviewed: 24 August 2026
1. Overview
ApexIQ WinCommand™ is a subscription software service from Apex Edge Sales Engineering Limited that helps Sales Engineering teams run stage-by-stage deal execution with clearer coaching, artefact creation, proof capture, and inspection rhythm.
ApexIQ WinCommand™ is designed to act as a system of action for Sales Engineering deal execution. The subscriber's customer relationship management system remains its system of record.
ApexIQ WinCommand™ is intended for business-to-business subscribers only. It is not intended for consumer use.
2. Intended users
ApexIQ WinCommand™ is intended for authorised users of a subscriber organisation, including:
- Sales Engineering leaders;
- Sales Engineers;
- Account Executives;
- revenue leaders;
- executive viewers;
- subscriber administrators;
- other authorised users approved by the subscriber.
Guest or external users may be permitted only where the product configuration allows them and only where they meet the applicable access rules set by Apex Edge Sales Engineering Limited and the subscriber. At launch, users invited into a subscriber workspace are limited to addresses on the subscriber's own email domain. Additional domains can be approved on request, and are then recorded against the workspace so the subscriber can invite across them. The subscriber remains responsible for ensuring that everyone it invites is authorised to have access.
3. What ApexIQ WinCommand™ supports
ApexIQ WinCommand™ may support the subscriber with:
- stage-by-stage deal execution;
- Sales Engineering coaching;
- opportunity inspection;
- discovery and qualification records;
- proof and validation records;
- Technical Win tracking;
- risk and blocker visibility;
- handoff readiness;
- subscriber-generated reports, summaries, and templates;
- internal deal review rhythm;
- scoring, recommendations, or automated risk indicators;
- data exports, including CSV, PDF, and JSON, with availability varying by subscription plan.
ApexIQ WinCommand™ is delivered as three modules:
- WinIndex™ - a Sales Engineering maturity assessment across the WinReadiness™, WinSystem™, and WinProof™ areas;
- WinEdge™ - deal execution scoring and stage-by-stage execution across the DealEdge™, ValueEdge™, and VisualEdge™ dimensions;
- WinScore™ - bid and deal qualification scoring, as a WinScore Deal™ (DealScore™) or a WinScore Bid™ (BidScore™).
A subscription covers either the full ApexIQ WinCommand™ suite or a single-module edition, as shown during checkout or in an Order Form. Where an edition is purchased, the modules outside it are not available and their records cannot be created. Adding a module is an upgrade to the corresponding full plan at the same tier.
Features may vary by subscription plan, edition, configuration, release status, and availability.
4. What ApexIQ WinCommand™ does not do
ApexIQ WinCommand™ does not promise, guarantee, or certify:
- that the subscriber will win any deal;
- that a Technical Win will be achieved;
- that a customer will sign a contract;
- that revenue will increase;
- that forecast accuracy will improve;
- that procurement approval will be obtained;
- that legal, security, privacy, procurement, or compliance requirements are satisfied;
- that generated outputs, scores, recommendations, or risk indicators are complete, accurate, or suitable without human review;
- that the service replaces the subscriber's customer relationship management system;
- that the service replaces legal review, security review, procurement review, compliance review, or professional judgement.
The subscriber remains responsible for reviewing information, decisions, records, outputs, recommendations, and artefacts before using them in customer-facing, legal, security, procurement, financial, or commercial contexts.
5. Product status and feature availability
ApexIQ WinCommand™ may be developed, improved, updated, withdrawn, suspended, or modified over time.
Apex Edge Sales Engineering Limited may make changes to features, user interface, workflows, scoring logic, recommendations, templates, export functionality, and supporting infrastructure where reasonably required for security, performance, legal compliance, product improvement, supplier changes, or operational reasons.
Unless expressly stated in an applicable Order Form or subscription agreement, no roadmap item, future feature, integration, artificial intelligence capability, file upload function, export format, or third-party integration is guaranteed.
At launch:
- artificial intelligence-assisted outputs are not included;
- direct customer relationship management integration is not available and may be considered in a future release;
- subscriber document upload is not available;
- the service may send account, subscription, authentication, usage, export, or service notifications;
- CSV and PDF exports are available on paid plans, scheduled CSV exports are available on the Growth and Scale plans, and the JSON "Download my data" export is available on every plan;
- our hosting supplier measures page performance and page views on the public website and the application, as described in the Cookie Notice.
6. Subscriber accounts and access
The subscriber is responsible for:
- ensuring that only authorised users access ApexIQ WinCommand™;
- managing user invitations, access rights, and user removal;
- maintaining accurate account and billing information;
- protecting user credentials;
- ensuring that its users comply with the applicable subscription terms, acceptable use rules, and internal policies;
- reviewing any guest or external user access before invitation;
- promptly removing access for users who no longer require it.
ApexIQ WinCommand™ may include administrative controls, authentication, multifactor authentication, password reset, user removal, workspace suspension, account termination, data export, and data deletion functionality.
ApexIQ WinCommand™ may also support bulk user onboarding, where a subscriber administrator uploads a file of colleagues' names and business email addresses in order to invite them as users in a single operation. Where the subscriber requests it, Apex Edge Sales Engineering Limited may perform this assisted onboarding on the subscriber's behalf. The subscriber remains responsible for ensuring it is authorised to provide those individuals' details and to invite them.
Apex Edge Sales Engineering Limited may suspend access where required for security, misuse, non-payment, suspected breach, legal obligation, or protection of the service.
7. Subscriber data
The subscriber may enter, create, store, or process information in ApexIQ WinCommand™ relating to its Sales Engineering and deal execution activity.
This may include:
- account and user information;
- opportunity information;
- deal stage, value, timing, and account context;
- stakeholder information, including names, roles, influence, buying role, Champion information, or Economic Buyer information;
- technical validation information;
- requirements, architecture notes, proof evidence, and security questions;
- activity logs and audit records;
- exported records.
The subscriber remains responsible for the accuracy, lawfulness, relevance, and appropriateness of the information entered into ApexIQ WinCommand™, and should not enter information that is unnecessary for legitimate Sales Engineering deal execution.
8. Restricted data
Unless Apex Edge Sales Engineering Limited has expressly agreed otherwise in writing, subscribers must not enter, upload, store, or process the following information in ApexIQ WinCommand™:
- special category personal data;
- criminal offence data;
- children's data;
- raw payment card information;
- passwords, secrets, private keys, or API keys;
- production customer data unrelated to deal execution;
- highly confidential security vulnerability information;
- unlawful, infringing, defamatory, discriminatory, malicious, or harmful content;
- information that the subscriber is not authorised to process or disclose.
The subscriber is responsible for ensuring that its users understand these restrictions.
9. Outputs, scoring, and recommendations
ApexIQ WinCommand™ may include scoring, recommendations, automated risk indicators, reports, summaries, templates, or other operational outputs.
These outputs are intended to support internal Sales Engineering execution and review. They are not legal advice, security advice, compliance advice, procurement advice, financial advice, or a guarantee of deal outcome.
The subscriber must review outputs before relying on them or using them in customer-facing, legal, security, procurement, commercial, or executive contexts.
Apex Edge Sales Engineering Limited does not guarantee that any score, recommendation, risk indicator, report, summary, template, or export will be complete, accurate, current, or suitable for any particular subscriber purpose.
10. Exports
During the active subscription term, ApexIQ WinCommand™ supports CSV exports and PDF exports on all paid plans, and scheduled CSV exports on the Growth and Scale plans. A JSON "Download my data" personal-data export is also available on every plan. Export availability varies by plan.
Unless expressly stated otherwise in the applicable subscription terms or Order Form:
- the CSV, PDF, and scheduled exports are available during the active subscription term and are not available after it ends;
- the JSON "Download my data" export is available during the subscription and, as a data subject right, during the limited retention window after termination, expiry, or suspension, until subscriber content is permanently deleted (see Section 11);
- CSV and PDF exports include an "Include archived" option and an Archived column, so the subscriber can always export archived records alongside current ones (see Section 11);
- the subscriber is responsible for exporting any required data before access ends or before the data is deleted;
- Apex Edge Sales Engineering Limited is not responsible for converting exports into another format.
11. Data retention and deletion
The retention and deletion rules for ApexIQ WinCommand™ are set out in the applicable subscription terms, the Product Privacy Notice, and the Data Processing Agreement.
Subscriber content is deleted from active systems within 30 days after termination or expiry, subject to legal-hold, backup, and other exceptions described in those documents.
Separately from deletion, ApexIQ WinCommand™ provides an automatic archival feature across the WinIndex™, WinEdge™, and WinScore™ modules. Records older than the subscriber's current and previous subscription year are moved to an archive so that default working views stay focused on current activity. Archival is a visibility setting, not deletion: archived records are retained in full, remain available under an "Include archived" view, stay exportable, and can be restored to the default views at any time. Only closed WinEdge deals are archived automatically; open deals are never archived on the basis of age. Archival is tenant-configurable and enabled by default, and a subscriber administrator can turn it off in Workspace settings. Archival does not delete any record and does not change the retention or deletion periods described above.
12. Suppliers and hosting
ApexIQ WinCommand™ may use third-party suppliers to provide hosting, database services, authentication, payment processing, subscription management, transactional email, application hosting, serverless functions, content delivery, logging, and related service infrastructure.
Current suppliers include:
- Supabase Inc. for database, storage, and authentication infrastructure;
- Stripe, Inc. for payment processing, subscription management, invoicing, and customer portal functionality;
- Resend, Inc. for transactional email delivery;
- Netlify, Inc. for application hosting, serverless function execution, global content delivery, real user metrics, and website analytics compiled from server request logs.
These suppliers are listed in the Sub-processor List. Subscriber data may be hosted or accessed outside the United Kingdom, and restricted international transfers may take place. Apex Edge Sales Engineering Limited uses appropriate transfer safeguards where required by applicable data protection law.
13. Security
ApexIQ WinCommand™ includes security controls designed to support safe operation of the service.
Security controls include:
- HTTPS/TLS for encryption in transit;
- role-based access control;
- multifactor authentication;
- administrative access controls;
- audit logging;
- backups;
- support access controls.
No security certification, penetration testing status, data residency commitment, encryption commitment, uptime commitment, business continuity commitment, or service credit is provided unless expressly stated in writing in an Order Form or other written agreement.
14. Support
Support arrangements are set out in the applicable subscription terms and plan description.
No support response time, uptime percentage, service credit, recovery time, or maintenance commitment is provided unless expressly agreed in writing.
15. Trials, pilots, and early access
ApexIQ WinCommand™ may be offered through a free trial, private pilot, or early-access programme.
At launch:
- a 14-day free trial is available;
- a payment card is not required for the free trial;
- private pilots may be permitted by special exception;
- paid pilots are not available.
Trial and early-access use is governed by the Trial Terms.
16. Payments, billing, and renewal
ApexIQ WinCommand™ may be purchased through self-serve online checkout or sales-led contracting.
At launch:
- subscription pricing is per organisation, as a flat rate for the workspace rather than per user;
- subscriptions are billed annually in advance on every paid plan;
- the Scale plan is available on annual billing only, and Enterprise subscriptions are annual or multi-year by agreement;
- capacity extension packs may be purchased in addition to a plan. A pack is a one-off payment, not a recurring subscription. The additional capacity runs alongside the subscription rather than renewing automatically, and lasts until the subscriber's allowances next reset on the subscription anniversary;
- the minimum subscription term is the paid term selected at checkout, which is one year;
- subscriptions renew automatically;
- suspension for non-payment is available;
- VAT applies where required;
- self-serve checkout is available, with sales-led contract and invoice routes available for enterprise subscriptions.
Detailed payment, renewal, cancellation, and refund terms are in the Online Subscription Terms.
17. Intellectual property
ApexIQ WinCommand™, ApexIQ methods, templates, structures, prompts, scoring logic, documentation, software, branding, user interface, and underlying service logic are owned by Apex Edge Sales Engineering Limited or its licensors.
Subscriber-entered content remains owned by the subscriber or its licensors.
Subscriber-specific generated outputs may be used by the subscriber internally for its business purposes, subject to the applicable subscription terms.
Aggregated or anonymised usage data, feedback, and suggestions may be used by Apex Edge Sales Engineering Limited where permitted by the applicable agreement and law.
The subscriber must not copy, reverse engineer, scrape, resell, sublicense, redistribute, modify, create derivative products from, or use ApexIQ WinCommand™ to build or train a competing product, except as expressly permitted by the applicable agreement.
18. Privacy and data protection
Apex Edge Sales Engineering Limited may act as controller for some processing activities and processor for others.
Apex Edge Sales Engineering Limited is likely to act as controller for account administration, billing, payment administration, service communications, and its own operational records.
Apex Edge Sales Engineering Limited is likely to act as processor where it processes subscriber-controlled personal data entered into ApexIQ WinCommand™ for the subscriber's Sales Engineering deal execution purposes.
The Product Privacy Notice, Data Processing Agreement, Cookie Notice, and Sub-processor List apply to this processing.
19. Cookies and similar technologies
ApexIQ WinCommand™ uses cookies or similar technologies that are necessary to provide authentication, session management, secure access, authorised administrative functionality, and core in-product behaviour.
The essential technologies are:
- Supabase authentication token cookies used to maintain authenticated sessions;
- Supabase PKCE authentication code verifier cookies used during sign-in and then deleted;
- impersonation session cookies used only for authorised super-admin impersonation of a tenant account;
- a notice dismissal cookie that remembers an in-product notice has been dismissed for the current sign-in session.
Every cookie used is essential. Our hosting supplier also runs a real user metrics script that measures page load performance; it sets no cookie, uses no browser storage, and builds no identifier, so it does not require consent. The same supplier compiles website analytics on its servers from request logs, which places nothing on the device and reads nothing from it, so that does not require consent either. Both are described in the Cookie Notice. No advertising, retargeting, profiling, session replay, or cross-site tracking technologies are used. Full detail is in the Cookie Notice.
20. Customer responsibilities
The subscriber is responsible for:
- ensuring that its use of ApexIQ WinCommand™ is lawful;
- ensuring that it has the rights and permissions needed to enter data into the service;
- ensuring that its users comply with the applicable terms;
- maintaining the confidentiality of credentials;
- reviewing outputs before relying on them;
- keeping its customer relationship management system and other systems of record accurate;
- exporting required data before termination or non-renewal;
- not entering restricted or prohibited data;
- obtaining any required notices, permissions, or approvals from its own users, customers, prospects, employees, contractors, or stakeholders.
21. Operational terms
21.1 Non-renewal
A subscription can be cancelled at any time before its renewal date, with no minimum notice period. Cancellation takes effect at the end of the current paid term: the subscription does not renew and access continues until that term ends. Fees for the current term remain payable.
21.2 Refunds
Fees are non-refundable except where required by law or expressly agreed in writing by Apex Edge Sales Engineering Limited.
Free trial access does not automatically convert into a paid subscription unless the subscriber selects a paid plan and accepts the applicable subscription terms.
21.3 Authentication data
Apex Edge Sales Engineering Limited acts as controller for authentication data used to operate, secure, monitor, and administer access to ApexIQ WinCommand™.
Authentication data may include sign-in credentials, password reset information, session data, authentication tokens, multifactor authentication records, failed sign-in attempts, and security access logs.
21.4 Usage data
Apex Edge Sales Engineering Limited acts as controller for operational usage data where that data is used for security, service operation, debugging, analytics, product improvement, billing enforcement, support, and abuse prevention.
Where logs or records include subscriber-controlled content processed on the subscriber's instructions, that content is treated under the Data Processing Agreement.
21.5 Retention periods
We keep data only where legally required or operationally necessary for the live service. Where data is no longer required, we delete it within 30 days, including from backups, unless an exception below applies. We do not keep a long-term anonymised audit dataset.
| Data type | Retention period |
|---|---|
| Billing, accounting, tax, invoice, payment, refund, and purchase order records | 6 years from the end of the relevant financial year (legal and accounting requirement) |
| Contract acceptance evidence linked to a paid subscription (accepted terms version, timestamp, accepting user, subscription identifier) | Retained with billing and legal records |
| Subscriber workspace content (opportunities, stakeholders, deal notes, proof and risk records, Technical Win records) | 30 days after termination, expiry, trial non-conversion, or account closure |
| Generated outputs and artefacts | 30 days (treated as subscriber content) |
| Stored exports (export files and metadata containing subscriber content) | 30 days |
| Operational account and admin records | 30 days after account closure, unless retained as billing or legal evidence |
| Support records | 30 days after ticket closure |
| Security logs (sign-in events, IP addresses, authentication and admin-access events) | 30 days |
| Operational logs (application, error, and request logs) | 30 days |
| Product analytics and usage data | 30 days |
| Transactional email records | 30 days (suppression records kept only as needed to honour opt-out) |
| Privacy rights request records | 30 days after closure, unless needed for legal evidence |
| Backups | 30 days maximum |
| Records under legal hold or dispute | Retained for as long as required for the claim, dispute, regulator request, or legal hold |
Deletion may be paused or overridden only where required by a legal or accounting retention obligation, a legal hold, or an active security investigation, abuse-prevention, billing dispute, privacy dispute, regulator request, or legal claim.
21.6 Deletion after termination
Following termination or expiry of the subscription, Apex Edge Sales Engineering Limited will delete subscriber content from active systems within 30 days unless retention is required by law, contract, dispute management, security, fraud prevention, accounting, or another legitimate business purpose.
21.7 Backup deletion
Subscriber content deleted from active systems may remain in backups for up to 30 days before expiry or overwriting in the ordinary backup cycle, unless longer retention is required for legal, security, disaster recovery, supplier-controlled backup cycles, or operational reasons.
21.8 Legal hold
Apex Edge Sales Engineering Limited may retain information where reasonably necessary to comply with legal obligations, resolve disputes, enforce agreements, prevent fraud or abuse, maintain security, or preserve evidence.
21.9 Business continuity
Apex Edge Sales Engineering Limited uses cloud infrastructure and operational procedures designed to support service continuity.
Formal recovery time objectives, recovery point objectives, uptime commitments, or service credits are not provided unless expressly agreed in the applicable subscription terms or Order Form.
