Acceptable Use Policy
The rules every organisation and user must follow when using ApexIQ WinCommand™.

This policy is for business-to-business subscribers only.
1. Purpose
This Acceptable Use Policy sets out rules for use of ApexIQ WinCommand™.
It is intended to protect:
- ApexIQ WinCommand™;
- Apex Edge Sales Engineering Limited;
- subscribers;
- authorised users;
- subscriber data;
- other subscriber workspaces;
- third-party systems;
- individuals whose personal data may be processed in the service.
This policy forms part of the agreement between Apex Edge Sales Engineering Limited and the subscriber.
2. Who must comply
This policy applies to:
- the subscriber;
- subscriber administrators;
- authorised users;
- Sales Engineering leaders;
- Sales Engineers;
- Account Executives;
- executive viewers;
- guest users, where permitted;
- external users, where permitted;
- anyone accessing ApexIQ WinCommand™ through the subscriber's account, workspace, invitation, credentials, or systems.
The subscriber is responsible for ensuring that all users of its account comply with this policy.
3. Business use only
ApexIQ WinCommand™ is provided for business and professional use only.
It must not be used for consumer, household, personal, unlawful, or unauthorised purposes.
The subscriber must use ApexIQ WinCommand™ only for legitimate internal business purposes connected with Sales Engineering deal execution, opportunity inspection, proof capture, Technical Win tracking, coaching, handoff readiness, and related subscriber operations.
4. System role
ApexIQ WinCommand™ is a system of action for Sales Engineering deal execution.
The subscriber's customer relationship management system remains its system of record.
The subscriber must not use ApexIQ WinCommand™ as its sole legal, contractual, accounting, procurement, security, compliance, or customer record, and remains responsible for maintaining appropriate records outside ApexIQ WinCommand™ where required.
5. General use rules
The subscriber and its users must:
- use ApexIQ WinCommand™ lawfully;
- comply with the applicable agreement, Service Description, Data Processing Agreement, Privacy Notice, Cookie Notice, and any applicable Order Form;
- use the service only for authorised business purposes;
- keep account and user information accurate;
- protect credentials and access methods;
- remove user access promptly when no longer required;
- enter only information that the subscriber is authorised to process;
- review outputs before relying on them;
- comply with applicable data protection, confidentiality, intellectual property, export control, sanctions, anti-bribery, anti-corruption, and other relevant laws;
- notify Apex Edge Sales Engineering Limited promptly of suspected misuse, unauthorised access, credential compromise, or security incidents.
6. Restricted Data
Unless Apex Edge Sales Engineering Limited expressly agrees otherwise in writing, the subscriber and its users must not enter, upload, store, process, transmit, or generate the following in ApexIQ WinCommand™:

| Highly confidential security vulnerability information | Not permitted unless expressly approved in writing. |
| Unlawful, infringing, defamatory, discriminatory, malicious, or harmful content | Not permitted. |
| Information the subscriber is not authorised to process or disclose | Not permitted. |
The subscriber is responsible for ensuring that users understand and follow these restrictions.
7. Personal data rules
The subscriber must not enter personal data into ApexIQ WinCommand™ unless:
- the subscriber has the right to do so;
- the processing is lawful;
- the data is relevant to the subscriber's legitimate business use of the service;
- the data is not excessive;
- any required privacy notice, lawful basis, consent, contractual permission, or other legal requirement has been satisfied;
- the data is not Restricted Data unless expressly approved in writing.
Personal data entered into ApexIQ WinCommand™ may include business contact information, stakeholder names, roles, buying roles, Champion information, Economic Buyer information, and deal-related notes. The subscriber remains responsible for ensuring that such data is accurate, appropriate, and lawful.
8. Confidential and sensitive business information
ApexIQ WinCommand™ may be used to process commercially sensitive subscriber information, including opportunity information, stakeholder information, technical validation notes, proof records, and risk records.
The subscriber must not enter information that is more sensitive than required for legitimate Sales Engineering deal execution, and must not enter information that it is contractually, legally, or professionally prohibited from disclosing to Apex Edge Sales Engineering Limited or its suppliers.
The subscriber should avoid entering:
- unnecessary confidential third-party material;
- unnecessary security architecture detail;
- unnecessary legal advice or privileged material;
- unnecessary procurement correspondence;
- unnecessary internal disciplinary, employment, health, or personal information;
- credentials, secrets, or production access information.
9. Security misuse
The subscriber and its users must not:
- attempt to gain unauthorised access to ApexIQ WinCommand™, another subscriber's workspace, Apex Edge Sales Engineering Limited systems, supplier systems, or third-party systems;
- test, scan, probe, or assess the vulnerability of ApexIQ WinCommand™ or connected systems without prior written permission;
- bypass, disable, or interfere with authentication, authorisation, access control, rate limiting, logging, security monitoring, workspace separation, or administrative controls;
- use another person's credentials;
- share accounts, credentials, tokens, or access links except as expressly permitted;
- introduce malware, ransomware, spyware, worms, Trojan horses, logic bombs, malicious code, corrupted files, or harmful scripts;
- overload, disrupt, degrade, or impair the service;
- interfere with another subscriber's use of the service;
- attempt to extract, enumerate, scrape, or bulk-download data not authorised for that user;
- use automated tools, bots, crawlers, scrapers, or scripts except as expressly permitted in writing.
10. Platform abuse
The subscriber and its users must not use ApexIQ WinCommand™ to:
- send spam or unauthorised communications;
- harass, threaten, intimidate, or target individuals;
- engage in fraud, deception, phishing, impersonation, or social engineering;
- distribute malware or harmful code;
- perform unlawful surveillance or profiling;
- process information for discriminatory, exploitative, or harmful purposes;
- breach confidentiality obligations;
- breach third-party intellectual property rights;
- breach data protection, employment, procurement, security, export control, sanctions, or anti-corruption laws;
- create, store, or distribute unlawful or harmful content.
11. Output misuse
ApexIQ WinCommand™ may generate or support scores, recommendations, automated risk indicators, reports, summaries, templates, or exports.
The subscriber and its users must not:
- present outputs as guaranteed, certified, or independently verified;
- present outputs as legal advice, security advice, compliance advice, procurement advice, financial advice, tax advice, or accounting advice;
- use outputs as a substitute for professional judgement;
- use outputs in customer-facing, legal, security, procurement, financial, executive, or commercial contexts without appropriate human review;
- claim that an output guarantees a Technical Win, signed contract, revenue increase, forecast improvement, procurement approval, compliance outcome, or customer decision;
- remove proprietary notices from outputs where those notices are included;
- use outputs to mislead customers, prospects, internal stakeholders, investors, auditors, regulators, or procurement teams.
The subscriber remains responsible for how it uses outputs.
12. Competitive misuse and intellectual property protection
The subscriber and its users must not:
- copy, modify, translate, adapt, or create derivative works of ApexIQ WinCommand™;
- reverse engineer, decompile, disassemble, or attempt to derive source code, models, prompts, scoring logic, recommendation logic, workflows, templates, methods, structures, user interface design, or underlying service logic;
- scrape, extract, copy, benchmark, or analyse ApexIQ WinCommand™ for competitive purposes;
- use ApexIQ WinCommand™ or its outputs to build, train, improve, support, or validate a competing product or service;
- resell, sublicense, lease, rent, timeshare, distribute, or provide ApexIQ WinCommand™ to unauthorised third parties;
- remove, obscure, or alter trade mark, copyright, confidentiality, or proprietary notices;
- use ApexIQ™, ApexIQ WinCommand™, Apex Edge Sales Engineering Limited marks, names, logos, or branding without written permission.
13. Data extraction, scraping, and automation
The subscriber and its users must not use automated systems to access, scrape, extract, copy, index, harvest, or interact with ApexIQ WinCommand™ unless expressly authorised in writing.
This includes:
- bots;
- crawlers;
- scrapers;
- browser automation;
- unauthorised API calls;
- bulk export tools;
- credential stuffing tools;
- automated testing tools;
- load testing tools;
- monitoring tools not approved by Apex Edge Sales Engineering Limited.
Permitted exports must be made only through approved export functionality and only for the subscriber's authorised data.
14. Third-party systems and integrations
The subscriber must not connect ApexIQ WinCommand™ to third-party systems, scripts, tools, APIs, browser extensions, automation services, or integration layers in a way that:
- breaches the agreement;
- compromises security;
- bypasses access controls;
- extracts data without authorisation;
- overloads or disrupts the service;
- creates unlawful processing;
- violates third-party terms;
- causes Apex Edge Sales Engineering Limited to breach supplier terms or applicable law.
Direct customer relationship management integration is not currently available at launch and may be considered in a future release. The subscriber must not attempt to create an unauthorised integration.
15. Email and notifications
ApexIQ WinCommand™ may send account, authentication, password reset, subscription, usage, export, or service notifications.
The subscriber and its users must not misuse notification functions or email-related features to:
- send spam;
- send unauthorised marketing;
- impersonate another person;
- send unlawful, misleading, or harmful communications;
- harass or pressure individuals;
- include Restricted Data or unnecessary confidential information in notification content.
16. Trials, pilots, and early access
Trial, pilot, beta, or early-access use may be subject to additional restrictions.
Unless expressly agreed otherwise, trial, pilot, beta, or early-access use:
- is for evaluation only;
- must not be used for production reliance;
- may be limited, suspended, changed, or withdrawn;
- may have reduced support, retention, export, functionality, or availability;
- must not include Restricted Data;
- must not be used to make customer-facing, legal, security, procurement, or commercial commitments without appropriate review.
17. Account administration and user management
The subscriber must:
- ensure only authorised users are invited;
- assign appropriate user roles;
- remove access promptly when users leave the organisation or no longer need access;
- review administrator privileges regularly;
- ensure guest or external users are permitted and appropriate;
- prevent shared accounts;
- report unauthorised access promptly;
- maintain accurate billing and notice contacts.
At launch, guest or external users are limited to users with the same email domain as the subscriber tenant unless otherwise agreed in writing.
18. Administrative impersonation and support access
ApexIQ WinCommand™ may include authorised administrative access or impersonation functionality for support, security, debugging, or service operation.
Apex Edge Sales Engineering Limited will use such access only where reasonably required and subject to internal controls.
The subscriber must not attempt to misuse, trigger, bypass, replicate, or interfere with administrative access controls, and must not request administrative access in a way that would require Apex Edge Sales Engineering Limited to breach law, security rules, confidentiality obligations, supplier terms, or another subscriber's rights.
19. Reporting misuse or security concerns
The subscriber must promptly report suspected misuse, unauthorised access, security incidents, credential compromise, Restricted Data entry, or policy breach to security@apexedgesalesengineering.com.
Reports should include, where available:
- subscriber name;
- affected account or workspace;
- relevant user;
- description of the issue;
- date and time observed;
- data or records potentially affected;
- steps already taken;
- contact for follow-up.
20. Monitoring and investigation
Apex Edge Sales Engineering Limited may monitor use of ApexIQ WinCommand™ to operate, secure, support, improve, and protect the service.
Where Apex Edge Sales Engineering Limited reasonably suspects breach of this policy, misuse, security risk, unlawful activity, or threat to the service, it may investigate.
Investigation may include reviewing logs, account activity, support records, configuration, metadata, and relevant subscriber records where necessary and lawful. Apex Edge Sales Engineering Limited will use reasonable efforts to limit review of subscriber content to what is necessary for investigation, support, security, legal compliance, or enforcement.
21. Suspension and enforcement
Apex Edge Sales Engineering Limited may suspend, restrict, disable, remove, or terminate access to ApexIQ WinCommand™ where it reasonably believes that:
- this policy has been breached;
- the agreement has been breached;
- Restricted Data has been entered without permission;
- subscriber use creates legal, security, operational, supplier, regulatory, or reputational risk;
- access has been compromised;
- payment is overdue;
- suspension is required by law, supplier requirement, court order, regulator, or security need;
- continued access may harm Apex Edge Sales Engineering Limited, subscribers, users, suppliers, third parties, or the service.
Where practicable and lawful, Apex Edge Sales Engineering Limited will use reasonable efforts to notify the subscriber of suspension and the reason for it. Apex Edge Sales Engineering Limited may remove or require removal of content that breaches this policy.
22. Remediation
Where a breach can be remediated, Apex Edge Sales Engineering Limited may require the subscriber to:
- remove prohibited or Restricted Data;
- correct configuration or access issues;
- remove or suspend user access;
- rotate credentials;
- stop unauthorised integrations or automation;
- confirm deletion of unlawfully exported data;
- provide information needed to assess risk;
- cooperate with investigation or mitigation;
- implement reasonable safeguards to prevent recurrence.
Failure to remediate may result in suspension or termination.
23. No waiver
Failure by Apex Edge Sales Engineering Limited to enforce this policy in a particular case does not prevent enforcement in another case.
24. Changes to this policy
Apex Edge Sales Engineering Limited may update this policy from time to time.
Where a material change affects subscriber obligations, Apex Edge Sales Engineering Limited will provide reasonable notice where practicable.
Continued use of ApexIQ WinCommand™ after the effective date of an updated policy may constitute acceptance of the updated policy where permitted by law and the applicable agreement.
